Sorin Pty Ltd (ABN: 26 692 978 939) (“Sorin”, “we”, “us”, “our“) creates personalised self‑eulogies and posthumous videos using a combination of consultations, creative production and artificial intelligence (AI) tools (“Services”)
We are committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Scope of this Policy
This Policy explains how we collect, use, disclose, store and protect personal information and sensitive information (including biometric data such as face likeness and voice) relating to clients, authorised representatives, family members, and other individuals whose information may be provided to us as part of our Services.
Key Definitions
- Personal Information: Information or an opinion about an identified individual or a reasonably identifiable individual.
- Sensitive Information: Includes health information, race or ethnic origin, religious beliefs, philosophical beliefs, sexual orientation, criminal history, and other information that may reasonably be considered sensitive in the context of our Services.
- Biometric Data: Data related to face likeness (images, videos, facial structure) and voice recordings (audio, voice characteristics) used to create or simulate personal likeness or voice in the final video.
- Materials: Stories, images, audio, video, documents and other content you or your authorised representatives provide to us.
- AI Tools / Providers: Third‑party AI services and platforms we use to process or generate content (these may operate or store data outside Australia).
What we collect
Depending on your engagement with us, we may collect:
- Identity & Contact: Name, address, email, phone, relationship to the client, preferences for the final video.
- Biographical & Sensitive Information: Life stories, personal history, cultural or religious preferences, family relationships, health‑related context you choose to share, and other sensitive details relevant to commemorative content.
- Biometric Data:
- Face likeness: Photos, video footage, facial features and expressions.
- Voice: Audio recordings, speech patterns, tone, mannerisms.
- Consultation Records: Notes and (where you consent) audio/video recordings of consultations.
- Technical & Usage (website): IP address, device/browser type, pages visited, cookies and similar technologies.
- Administration & Payments: Engagement details, invoices, payment status (we do not store full credit‑card numbers if processed by third‑party payment providers).
How we collect information
- Directly from you: During consultations, via email, forms, file uploads, or in person.
- From authorised representatives you nominate (e.g., next of kin, legal guardian, executor, or key contact).
- Publicly available sources (only where appropriate and permitted).
- Automatically via our website and tools (e.g., basic analytics and cookies).
- From third parties you instruct us to liaise with (e.g., funeral homes, videographers).
Why we collect and use information (Purposes)
We collect, use and disclose personal, sensitive and biometric information to:
- Conduct consultations; gather stories and Materials; and produce draft and final videos.
- Process voice and face likeness using AI tools to generate commemorative content.
- Manage accounts, billing, and client communications.
- Provide data storage (if selected), retrieval and re‑delivery.
- Improve quality, safety and reliability of our Services (e.g., quality assurance of consultations).
- Comply with law, respond to regulatory requests, prevent fraud or misuse.
- Market our Services (only with your explicit consent, or via de‑identified excerpts per your preference).
Our legal basis (APPs) & consent
We handle personal information in accordance with the APPs. Where sensitive information and biometric data are involved, we rely on your informed consent, which we obtain during engagement (including any recorded consultations) and before using AI tools. You may withdraw consent at any time; however, this may affect our ability to provide or complete the Services.
Biometric Data – Handling, AI use and safeguards
- Collection & Use: We collect and process face likeness and voice solely for producing the agreed commemorative content and related Services.
- AI Processing: We use third‑party AI tools to process biometric samples and generate outputs (e.g., voice cloning, facial reenactment, style transfer) where applicable.
- Model Inputs: We minimise input datasets to what is necessary; we avoid uploading extraneous personal materials; and we apply data minimisation and access controls internally.
- Retention & Deletion: Biometric samples and derived artefacts are retained only for the period necessary to produce/deliver the final video and any agreed retention/storage service. After that, they are securely deleted or de‑identified unless we are legally required to retain them.
- No Unauthorised Profiling: We do not use biometric data for identity verification, surveillance, or unrelated profiling.
- Accuracy & Limitations: AI outputs may not precisely replicate a person’s likeness or voice and may reflect model limitations or artefacts.
- Your Choices: You can opt out of specific biometric processing steps (e.g., voice cloning) and choose non‑AI alternatives where feasible.
AI Transparency
We commit to transparency about how AI is used in our Services:
- Purpose: AI is used to enhance creative production (e.g., voice synthesis, visual enhancement, stylistic generation) for commemorative content—not for decisions about eligibility, creditworthiness, or other impactful assessments.
- Providers: We use reputable third‑party AI providers. The providers we use may change over time; we will maintain an up‑to‑date list on our website or provide it on request.
- Data Flows: Materials and biometric samples may be transmitted to AI providers for processing; some providers may host or process data outside Australia.
- Human Oversight: Our creative team reviews AI outputs and makes editorial decisions.
- Limitations & Risks: AI tools can produce variable or unexpected results; outages or changes to provider terms may occur.
- Your Rights: You can ask how AI affected a specific output, request non‑AI alternatives (where viable), or withdraw consent for further AI processing.
Disclosure to third parties
We may disclose personal, sensitive and biometric information to:
- AI providers and cloud service providers that assist in processing or hosting.
- Production and post‑production partners (e.g., editors, sound engineers) under confidentiality obligations.
- Funeral homes or nominated custodians (if you instruct us to release or store content with them).
- Professional advisers (legal, accounting) and insurers.
- Regulators and law enforcement where required or authorised by law.
We do not sell personal and sensitive information.
Cross-border disclosure
Some third‑party providers may process or store data outside Australia. We take reasonable steps to ensure comparable safeguards, but overseas jurisdictions may have different privacy standards. Where practicable, we select providers with robust security and privacy practices and contractual protections.
Storage, retention & deletion
- Production Materials: Retained only as long as needed to create and deliver the final video and manage any agreed revisions.
- Biometric Data: Retained for the minimum necessary period; typically deleted or de‑identified upon final delivery unless you have opted into a storage service.
- Storage Service (Optional): If selected, we store final videos/Materials for using third‑party cloud providers; after that, content may be deleted. You remain responsible for maintaining your own backups.
- Deletion Requests: You may request deletion at any time unless we are legally required to retain the information. Deletion during production may prevent us from completing the Services.
Security
We implement reasonable administrative, technical and physical safeguards, including access controls, encryption in transit (where available), secure credential management, staff training, and confidentiality obligations with service providers. No system is completely secure; we continuously review and improve our safeguards.
Your rights – access, correction, choices
You may request access to, or correction of, personal and sensitive information we hold about you. You may also withdraw consent for certain processing (e.g., AI or biometric processing) and request deletion subject to legal retention requirements. We may require identity verification. We aim to respond within a reasonable period.
Marketing & testimonials
We will only use identifiable content for marketing or portfolio purposes with your express consent (or in anonymised/de‑identified form per your engagement letter selections). You can opt out of marketing communications at any time.
